Job Summary:
The Assistant Procurement Manager supports the procurement function by overseeing procurement systems, managing travel and expense operations, and leading front-of-house and mailroom services. This role acts as the configuration owner for the Unit4 (Coda) procurement system and ensures efficient, compliant, and customer-focused service delivery across procurement administration, travel, expense, and reception/mailroom operations.

Essential Functions and Responsibilities:

  • Procurement Systems & Controls
    • Serve as the configuration owner for the Unit4 (Coda) Procurement System, including vendor setup, workflows, controls, and user access.
    • Manage system enhancements, testing, upgrades, and issue resolution in collaboration with IT and Finance.
    • Ensure procurement system configurations align with internal controls, policies, and audit requirements.
    • Develop and maintain system documentation, procedures, and user training materials.
  • Travel & Expense Management
    • Lead and manage the Travel and Expense team, ensuring accurate, timely, and compliant processing.
    • Oversee corporate travel bookings, including coordination with travel management companies and preferred vendors.
    • Manage employee expense reimbursements, ensuring compliance with company policies and tax requirements.
    • Administer the P-Card (procurement card) program, including card issuance, limits, monitoring, reconciliation, and compliance review.
    • Oversee Motus administration and compliance with IRS requirements
  • Vendor Administration & Compliance
    • Oversee new vendor onboarding and ongoing vendor compliance, including the collection, validation, and tracking of required insurance certificates and documentation.
    • Ensure vendors meet contractual, insurance, and regulatory requirements prior to engagement and throughout the vendor lifecycle.
    • Partner with Procurement, Legal, and Risk teams to resolve vendor compliance issues.
  • Reception & Mailroom Operations
    • Manage the Reception and Mailroom team, ensuring professional front desk service and efficient mail handling.
    • Oversee visitor greeting, badging, and coordination with internal hosts to deliver a positive visitor experience.
    • Manage all incoming U.S. mail and shuttle mail, ensuring accurate sorting, tracking, and timely distribution.
    • Maintain mailroom procedures, service standards, and vendor relationships related to courier and mail services.
  • Leadership & Continuous Improvement
    • Provide day-to-day leadership, coaching, and performance management for direct reports.
    • Identify opportunities to improve processes, controls, customer experience, and operational efficiency.
    • Support procurement leadership with reporting, metrics, audits, and special projects as needed.

Minimum Skills and Qualifications:

  • Bachelor’s degree in Business Administration, Supply Chain, Finance, or related field, or equivalent experience.
  • Experience in procurement operations, travel and expense management, or shared services environments.
  • Demonstrated experience working with ERP or procurement systems; Unit4 (Coda) experience strongly preferred.
  • Knowledge of P-Card programs, expense compliance, and vendor onboarding processes.
  • Strong leadership and people management skills with a customer service mindset.
  • Excellent organizational, communication, and problem-solving abilities.
  • Close attention to detail with the ability to manage multiple priorities in a fast-paced environment.

Physical Requirements:
Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information. The noise level in the work environment is usually quiet in office settings and moderate to loud in other situations, with both constant and sudden loud noises possible.
